Refund and Cancellation Policy

How cancellations, refunds and service termination are handled.

1. Website setup payments

Website setup work includes planning, design, layout, configuration, communication and technical setup. Refunds may be limited once work has started or costs have been incurred.

2. 12-month website care special

Discounted setup pricing is offered because the client commits to 12 months of website care. If the client cancels early, VST Services may charge the difference between the discounted setup price and the full launch setup price, plus any outstanding monthly fees or provider costs, where applicable.

3. 6-month website care option

Clients choosing the full launch setup option may be required to take a minimum of 6 months website care. Early cancellation may still require payment of outstanding agreed minimum-period fees.

4. Hosting, domains and email

Domain registrations, renewals, hosting and third-party provider costs may be non-refundable once ordered, activated or renewed. Domain transfer, DNS changes and mailbox migration work may be quoted separately.

5. Monthly retainers

Monthly support retainers are charged for availability, agreed support allocation, maintenance, planning and service continuity. Cancellation notice periods should be agreed in writing.

6. Custom development

Custom system work is quoted by scope. Completed work, analysis, design, coding, database work, testing, deployment and support time may not be refundable.

7. Requesting cancellation

Cancellation requests must be sent in writing to aries@vstservices.co.za.

Final refund/cancellation terms should also be included in the signed quote or service agreement.
